Overview:

This is a provisional appointment.

 

Brief Job Description (essential functions of the job):

 

Reporting to the Director of the Executive Support Unit or other assigned supervisor, the Administrative Assistant is responsible for the administration of one or more of the unit's programs, as well as assisting in the administration of other unit and division programs.

Responsibilities:

 

  • Provides clerical support to the Commissioner and other senior managers.
  • Oversees and tracks assignments and directives of the Director and other senior managers to ensure timely and accurate completion.
  • Prepares reports and correspondence, manages files and computerized information sources.
  • Responds to taxpayers and other inquiries, provides information to the public and staff, and serves as liaison to other units, divisions, and entities.
  • Makes recommendations, trains and supervises staff, and carries out special projects as required.
  • Performs related work as required.

Minimum Entrance Qualifications:

 

  • At least three (3) years of full-time, or equivalent part-time, professional experience in office or business management or administration required.
  • Appropriate educational substitutions may be made.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Knowledge of assessing laws, regulations, procedures, programs, and policies preferred.
  • Demonstrated organizational and analytical skills preferred, with strong project management skills.
  • Strong skills in spreadsheet and database softwareare preferred.
  • Good oral and written communication skills are preferred.
  • Strong interpersonal, teamwork, and negotiation skills preferred.
  • Ability to solve problems, act creatively, manage multiple tasks, and meet deadlines is preferred.

 

CITY OF BOSTON RESIDENCY REQUIRED.

 

TERMS:

 

Union/Salary Plan/Grade: SEIU/RL 16

Hours per week: 35
