Overview:

Brief Job Description:

Provides support for the Visitor Experience Department at the Central Library in Copley Square, including the tour program, wayfinding, interpretive materials, scheduling, invoicing, day-of assistance, program coordination, and other clerical duties.

 

Reports to:

Visitor Experience Coordinator

Responsibilities:

  • Assists with visitor experience team projects, including wayfinding and accessibility upgrades.
  • Assists with patron communications related to activities or duties falling under the Visitor Experience team.
  • Addresses basic customer service issues and refers to other staff as appropriate. Communicates and interprets BPL policies and procedures in a professional and courteous manner.
  • Greets and provides basic reference and directional assistance to visitors to the library at Welcome Services desks as assigned.
  • Assists the Visitor Experience Coordinator in all aspects of tour program coordination and implementation, including distribution of information to tour guides, monitoring of open shifts, and primary support for scheduling of guides, training, collection and entry of private tour information, collection of tour statistics, and communicating with the staff and the public on tour-related issues.
  • Gives public tours as assigned.
  • Assists with the maintenance of files and records related to the Central Library’s physical and architectural history.
  • Assists with ongoing inventory and revision of interpretive information (including online content, guides, and brochures).
  • Assists with the coordination and upkeep of displays overseen by Visitor Experience in the Central Library.
  • Performs departmental clerical duties, including the ordering and organization of supplies. Corresponds with vendors on department orders, creates requisitions, and pays invoices.
  • Other related duties as assigned.

Minimum Entrance Qualifications:

  • Education: High school graduate or equivalent. Additional education is desirable.
  • Experience: At least two (2) years of administrative experience or equivalent education and/or training to carry out responsibilities of the position.
  • Demonstrated aptitude for customer service and strong ability to communicate and collaborate successfully with staff and patrons of all age levels.
  • Proficiency with standard office productivity software, including Microsoft Word, Excel, and Outlook.
  • Ability to work with minimal supervision.
  • Ability to carry out detailed procedures with accuracy.
  • Ability to prepare analytical and statistical reports.
  • Demonstrated initiative and appropriate independent decision-making skills.
  • Demonstrated strong oral and written communication skills.
  • Demonstrated organizational skills. Identifies, plans, and prioritizes administrative job responsibilities and tasks; assists in implementing administrative timelines.
  • Computer skills necessary to complete this job as described.
  • Ability to work nights and weekends.
  • World language skills are desirable.
  • CORI - Must successfully clear a Criminal Offenders Record Information check with the City of Boston.
