Overview:

We are seeking a detail-oriented and organized Recreation Equipment and Events Specialist to manage the receipt, storage, and distribution of supplies, equipment, and materials for the Recreation unit. This role is essential for ensuring that all resources are efficiently handled and are available for various Parks Department events.

Responsibilities:

  • Oversee the receipt, storage, and distribution processes for the central stores system, ensuring all supplies and equipment are accounted for and accessible.
  • Interview sales representatives and collaborate with salespersons, city buyers, and other vendors to determine the specifications and types of equipment and materials to be purchased.
  • Evaluate new products to enhance inventory quality and functionality.
  • Prepare event supplies and equipment as directed, including loading/unloading vans and transporting materials to event sites. 
  • Assess and generate inventory reports on a regular basis as directed by the supervisor.
  • Yearly equipment and purchase audit on all Parks and Recreation program equipment.
  • Perform on-site setup, breakdown, and placement of event equipment.
  • Operate and maintain basic equipment, such as mechanical stages, sound systems, and podiums. 
  • Coordinate and manage on-site resources, ensuring all necessary materials are accounted for and functional.
  • Serve as a point of contact during events, addressing operational needs and collaborating with staff, vendors, and community partners.
  • Provides tournament schedules and game information to parents and spectators as a front-facing Parks employee during special events and programs.  
  • Provide support for crowd management, participant engagement, and troubleshooting during events.
  • Conduct site visits to assess and prepare event locations. 
  • Collaborate with staff and external partners to finalize event layouts, schedules, and plans.
  • Check incoming consignments against invoices to verify that materials received meet specified criteria and standards.
  • Operate and maintain the electronic sound system to ensure optimal performance during events.
  • Oversee the setup of equipment at all Parks Department events, ensuring that all technical needs are met and equipment is functioning properly.
  • Maintain a comprehensive computer-based inventory tracking system for efficient management of the programming unit’s central store. 
  • Contribute to annual budget preparation for the acquisition of new sports equipment, banners, paper products, and other necessary supplies, ensuring alignment with departmental goals and funding availability.
  • Solicit bids from vendors for the procurement of banners, sports equipment, and other supplies to ensure competitive pricing and quality.
  • Inspect all equipment on a regular basis, ordering repair parts as needed to maintain optimal functionality and safety.
  • Provide administrative support for seasonal staff onboarding and training. 
  • Perform related duties as required.

Minimum Entrance Qualifications:

  • At least four (4) years of full-time or equivalent part-time experience in event coordination, equipment management, or related work.
  • A high school diploma or equivalent is required; a bachelor's degree may substitute for two (2) years of the required experience.
  • Proven experience in inventory management, procurement, or a related field.
  • Availability to work evenings, weekends, and early mornings for events. 
  • Strong organizational skills and attention to detail.
  • Excellent communication skills for effective vendor and team interactions.
  • Technical proficiency with electronic sound systems and event setup procedures.
  • Ability to prepare budgets and conduct financial analysis.
  • Knowledge of G-Suite and other tools for documentation and communication.
  • Background in event planning or support within a parks or recreation department.
  • Valid Driver's License required.
