Overview:

Responsible for managing weekly pay cycles and all non-payroll disbursements for the City of Boston.

Responsibilities:

  • Manages Accounts Payable staff in support of the review of the procurement process.
  • Responsible for the weekly execution of all non-payroll disbursements for the City of Boston.
  • Manages daily exception reporting, payment exception reporting, and coordinated resolution.
  • Checks and reviews work for accuracy and adherence to terms, policies, procedures, and regulations, as well as within deadlines.
  • Responsible for departmental support related to the procurement and contract process.
  • Coordinates with all City departments for unique payment processing via uploads and other processes.
  • Manages vendor relations and updates. Monitor and investigate vendor information changes as needed.
  • Leads City Accounts Payable customer service effort by assisting and instructing vendors, customers, and/or city staff (within and outside of the Auditing department) regarding proper and accurate procedures.
  • Serves as backup to other Sr. Accounts Payable Supervisors.
  • Oversees document management for all non-payroll disbursements. Prepares and maintains logs, tracking sheets, and similar files.
  • Reviews exception reports and manages the correction of discrepancies as necessary.
  • Provides data for and prepares a variety of financial and statistical reports.
  • Participates in ERP system tests for upgrades and modifications.
  • Performs related work as required.

Minimum Entrance Qualifications:

  • At least six (6) years of full-time professional experience in the field of office or business administration or accounting. Bachelor's degree in a related field may be substituted for two (2) years of the required experience.
  • Experience leading, training, or supervising staff preferred.
  • Strong written and verbal communication skills required.
  • Knowledge of Microsoft Office suite and Google Suite preferred.
  • Experience with Oracle/PeopleSoft or ERP financial applications preferred.
  • Ability to exercise good judgment and focus on detail as required by the job.
