Overview:

The Mayor’s Office Operations Team is seeking an intern to work up to 35 hours per week. 

 

The ideal candidate must be a strong multitasker who is comfortable working independently as well as part of a team. The individual will assist with administrative and customer service tasks. This position provides an opportunity for college students to gain hands-on experience in municipal operations, public service, and office administration. This position reports to the Administrative Front Desk Manager.

Responsibilities:

  • Greet and assist constituents with a friendly and professional demeanor.
  • Answer, screen, and direct incoming phone calls promptly and courteously.
  • Maintain a clean, organized, and presentable front desk area.
  • Handle constituent intake and enrollment during visits.
  • Confirm meetings and conference room bookings.
  • Assist in data entry, document filing, and organizing office supplies.
  • Prepare and distribute city correspondence, memos, and emails; manage package deliveries.
  • Operate office equipment such as printers, copiers, and phone systems.
  • Ensure office security by following safety procedures and access control.
  • Maintain confidentiality of all city and constituent information.
  • Perform related duties as required.

Minimum Entrance Qualifications:

  • Current enrollment in an accredited college or university, preferably in Public Administration, Political Science, Business, or a related field.
  • Strong telephone skills, verbal and written communication skills, ability to work well under pressure, and multitasking.
  • Ability to provide quality customer service in person and on the phone; to establish and maintain effective working relationships; to work effectively within a team and independently.
  • Experience with Microsoft Office (Word, Excel) and Google Workspace (Docs, Sheets, Calendar) tools is a plus.
  • Ability to handle multiple tasks and work in a multicultural, multi-ethnic workplace.
  • Ability to exercise good judgment and focus on detail required by the job.
  • Proficiency in video conferencing (Zoom, Google Meets).

BOSTON RESIDENCY REQUIRED

 

Terms:

Union/Salary Plan/Grade: Non-Union/$20 per hour

Hours per week: up to 35
