Brief Job Description (essential functions of the job):

 

Under the general supervision of the Superintendent of Waste Reduction and/or the Sr. Administrative Assistant, performs work of moderate difficulty assisting with a wide variety of grant accounts and accounts relating to solid and hazardous waste, recycling, and composting.

Responsibilities:

  • Gathers and processes data.
  • Generates and maintains records for the purchase of goods and services. 
  • Prepares and submits purchasing requisitions and purchase orders for goods and services using computer software. 
  • Performs office clerical work. 
  • Assembles information for the department website as required and works with DoIT to ensure information is posted in a timely manner. 
  • Answers telephones and records messages. 
  • Responds to inquiries from the public via the telephone or in person. 
  • Generates reports from software programs.
  • Maintains program records and documents. 
  • Performs related work as required. 

 

Required to work any emergency as directed by the Chief of Streets or designee.

Minimum Entrance Qualifications:

  • Applicants must have at least four (4) years of full-time, or equivalent part-time, paid experience in office work or business administration, in work the major duties of which include one or more of the following functions: office management, records management, purchasing or personnel administration.
  • An undergraduate degree may be substituted for a maximum of two (2) years of the required experience.  A diploma for completion of a two-year full-time or equivalent part-time program in secretarial or business education above the high school level may be substituted for one (1) year of the required experience.
  • Knowledge of office practices and procedures, office equipment, and administrative procedures relating to maintaining accounts.
  • Ability to develop effective office work procedures.
  • Ability to understand and follow oral and written instructions.
  • Ability to establish and maintain effective, harmonious working relationships with other employees.
  • Ability to work independently, take initiative, and provide quality customer service in person or over the phone. 
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Ability to operate a computer with a working knowledge of Microsoft Office, Word, Excel, PowerPoint, and database software programs preferred.
  • Working knowledge of municipal recycling and composting is preferred.
