Brief Job Description (essential functions of the job):

 

Under the supervision of an employee of a higher grade, the Principal Clerk of the Boston Fire Department Fire Prevention Division will perform the following:

Responsibilities:

  • Provides customer service related to agency services that cater to the public; answers telephones and inquiries from constituents; takes messages and routes to recipients. Greets customers at the service counter and answers questions about permits, certificates, etc.; receives and timestamps forms. Relays information to constituents in response to inquiries or directs them to the appropriate personnel.
  • Receives, processes, files, forwards, and distributes mail relative to correspondence, forms, permit plans, licenses, and fire reports. Prepares and mails outgoing correspondence and parcels.
  • Prepares forms, files, and reports for processing, storage, or forwarding.
  • Performs clerical duties as required, such as issues fire reports as requested through the mail; enters data from forms as required by the division; prepares outgoing mailings; filing, whether paper or electronic; maintains and retrieves files and reports. whether paper or computerized.
  • Serves as a backup to the Chief Telephone Operator on an as-needed basis.
  • Operates standard office machines and equipment.
  • Performs related work as required.

Minimum Entrance Qualifications:

  • Two (2) years of full-time, or equivalent part-time, experience in office work.
  • Ability to learn and know information pertaining to the division when constituents call for questions and answers or direct them to the correct subject matter expert. 
  • Knowledge of departmental policies and procedures is preferred. 
  • Knowledge of Microsoft Office and Outlook is strongly preferred. 
  • Organized with a strong attention to detail and the ability to multitask, prioritize work, and meet deadlines. 
  • Good interpersonal and customer service skills and willingness to work as a part of a team. 
  • Ability to communicate effectively and professionally with the general public. 
  • Ability to exercise good judgment and focus on detail as required by the job.
