Overview:

The Receptionist serves as the first point of contact for the Commission, welcoming and connecting visitors, callers, etc., to appropriate units and/or staff. This position will manage the front desk area, providing ad hoc administrative support as needed.

Responsibilities:

  • Greet and welcome visitors, answering questions and providing direction.
  • Answer and route incoming phone calls to the Commission's call center in a polite and friendly manner. Complete all necessary and appropriate intakes and direct information accordingly.
  • Accept deliveries and mail, organize and distribute them to the appropriate recipient using the office mailing system. Manage incoming and outgoing mail and packages.
  • Support the Taxi Coupon program. Sell and manage all assigned taxi coupon booklets and associated cash.
  • Maintain reception and common areas clean and tidy when necessary.
  • Works with Communications and Constituent Services teams to ensure common areas have necessary information and materials.
  • Maintain general staff directory and other internal documents frequently used by the department.
  • Manage the Commission's conference room calendar and ensure the space is well maintained.
  • Provides assistance to Commission units and programs as needed.
  • Compiles and maintains records. Prepares reports and other required documents.
  • Performs related work as required.

Minimum Entrance Qualifications:

  • High School Diploma or General Education Degree (GED) is required.
  • Minimum of three (3) years of full-time or equivalent part-time experience in call center operations, customer service, office environment, or related field. Experience working in programs for older adults is preferred.
  • An Associate's Degree may count up to one (1) year of required experience, Bachelor’s degree may count for up to two (2) years of required experience.
  • Excellent in-person and phone etiquette.
  • Professional, adaptable, and friendly attitude
  • Excellent interpersonal skills.
  • Strong work ethic. Punctual with a strong attendance history.
  • Experience working with diverse populations.
  • Comfortable multitasking and prioritizing tasks without guidance.
  • Problem-solving ability.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Experience in typical office software systems (Microsoft Office and Google Suite) preferred. 
  • Bilingual (Spanish, Haitian Creole, CaboVerdean Creole, Vietnamese, Cantonese, or Mandarin) is highly preferred.
