Overview:

This is a provisional appointment.

Brief Job Description (essential functions of the job):

Under the supervision of an employee of a higher grade, directly supervises clerical support personnel of the Fire Prevention Division, including the planning and assigning of the work to meet the division's needs based upon the nature of the task to be accomplished.

Responsibilities:

  • Confers with agency staff in order to exchange information to resolve problems and coordinate activities. 
  • Reviews, analyzes, and prepares reports concerning assigned unit activities in order to improve work methods, determine progress, revise established procedures, and/or provide information to supervisors.
  • Oversees and coordinates the activities of subordinates in connection with the preparation, maintenance, and issuance of all permits, licenses, certificates, registrations, records, reports, and documents of the division, including the billing and collection of required fees.
  • Responsible for scheduling adequate staffing and training for the administrative functions of the Special Occupancy, Special Hazards, General Inspectors, and Plans Units, as well as covering other units as required; serves as backup when needed for any clerical member of the division.
  • Performs related work as required.

Minimum Entrance Qualifications:

  • Applicants must have at least three (3) years of full-time or equivalent part-time professional or administrative experience in management analysis or related field, some of which must have been in a supervisory capacity. Previous supervisory experience managing a staff larger than two (2) persons is preferred.
  • Knowledge of department rules, regulations, procedures, and functions preferred.
  • Knowledge of office practices and procedures; working principles of office management.
  • Knowledge of billing, cashiering, and collections.
  • Ability to understand and follow complex oral and written instructions.
  • Ability to compose correspondence and reports. 
  • Full working knowledge of PeopleSoft Financials Billing and Accounts Receivable Modules, Hansen Permitting Software, iNovah Cashiering, and Microsoft Office preferred.
  • Ability to exercise good judgment and focus on detail as required by the job.
