The Major Projects Coordinator assists in the implementation of system-wide improvements and initiatives organized as major and/or capital projects of the Boston Public Library, ensuring projects and initiatives are aligned with the vision and strategic plans of the Boston Public Library, state-of-the-art thinking about the future of library services and current best practices in the field of public library services with a particular focus on both space - layout and design. This role is part of the library project management office and coordinates project activities in conjunction with Library management, City of Boston colleagues, and other stakeholders as assigned. This individual also acts as the project manager on a number of system-wide projects. Day-to-day duties involve coordination of complex projects involving multiple areas of library operations and services, responsibility for guiding major capital projects, and operating initiatives. Key skills include facility renovation, design and construction management, project management, communication, and an appreciation of public libraries.

Responsibilities:

Scope of Responsibility

  • Is responsible for all internal coordination and oversight of assigned BPL capital or major projects and acts as a liaison to the City of Boston’s Property and Construction Management department, as well as other key BPL and City of Boston departments and personnel. Will coordinate with internal and external partners on all aspects of project oversight and provide a supporting role as a liaison for scheduling, managing operational impacts, and maintenance of BPL project documentation. 
  • As the Library’s representative, participates in the written review of documents prior to bid, awarding of contracts, and review of change orders to ensure alignment with BPL goals.
  • As the Library’s representative assists with the review of designs, plans, drawings, and specifications using computer-assisted design (CAD) software at a basic level.
  • As the Library’s representative, using formal or informal knowledge of construction procedures, reviews on-site work with key project leadership personnel, to ensure alignment with BPL goals, and ensures progress reports are available for BPL stakeholders following visits.
  • Oversees a minimum of 1-2 BPL projects at various stages of work, including FF&E-focused projects, in addition to a small number of critical mid-size projects.
  • Schedules and attends meetings, prepares meeting materials, develops agendas, and ensures minutes are available, particularly for internal project team meetings, as appropriate.
  • Assists in the development and execution of communications plans on a program and project basis.
  • Initiates and maintains appropriate working relationships with staff within the Library and with other city departments and partners.
  • Conducts research and surveys current industry standards with respect to recent/current innovations and thinking on the future of library services relevant to specific projects and goals. Helps determine project goals for space and programming activities, including the development of goals, metrics for success, and evaluative measures to assess progress and ongoing improvement
  • Performs other related and comparable duties as assigned and required.

Minimum Entrance Qualifications:

  • Education – Bachelor’s Degree in Architecture, Urban Planning, or Business Administration; or a Bachelor’s Degree in another field combined with Project Management (PMP) certification or equivalent.
  • Experience – Minimum of two (2) years related experience in residential, commercial, and/or institutional planning, renovation, or construction projects.
  • Requirements –Knowledge and understanding of construction practices and general municipal contract processes are preferred. A valid driver’s license is required.
  • Ability to identify, plan, and prioritize job responsibilities and tasks and determine and implement project timelines.
  • Ability to translate conceptual goals into realistic and actionable tasks and timelines.
  • Ability to manage resources, timelines, deadlines, and budgets.
  • Ability to multi-task, set priorities, and manage to institutional priorities.
  • Ability to identify risks and constraints and to develop and execute mitigation strategies.
  • Ability to execute library policy.
  • Ability to plan and supervise the work of others.
  • Ability to demonstrate vision, strategic thinking, initiative, collaboration, flexibility, and adaptability; and willingness to embrace change.
  • Ability to work collaboratively and proactively with various advisory groups and levels of staff in a team environment.
  • Ability to work independently and to initiate proposals for implementation.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Excellent communication, public speaking, and presentation skills are essential.
  • CORI – Must successfully clear a Criminal Offenders Record Information check with the City of Boston.
