Overview:

The incumbent is responsible for planning and coordinating all logistics related to events and programs. Responsibilities may include implementing new events and programs, recruitment and engagement efforts, and relationship building with older adults, instructors, vendors, partners, etc.

Responsibilities:

  • Coordinates logistics related to the Commission’s events and programs; contributes to the Commission’s marketing strategy and plan.
  • Assists with the design, implementation, and evaluation of all events and programs, including recreational, cultural, and fitness programs offered by the Commission. Suggests ideas to improve processes.
  • Coordinates logistics related to events and programs, including booking space, coordinating programs, ordering food, etc.
  • Tracks records of attendees, vendors, etc. 
  • Serves as liaison with vendors, partner agencies, and seniors on all event and program-related matters. Keeps track of event/program invoicing and payment processes; communicates ideas and opportunities for collaboration; provides information.
  • Assists the Director in the management, coordination and evaluation of unit staff to improve program operations. Effectively communicates information about Age Strong Commission programs and services through community outreach, engagement, and presentations.
  • Assists with preparing event and program budgets and provides periodic progress reports.
  • Collects and reports statistical information.
  • Assists with managing on-site production and clean-up for events and programs, including staging, set-up, and breakdown.
  • Assists with volunteer recruitment as needed.
  • Assists with preparation and modification of program and event contracts as needed.
  • Assists with senior center coverage as needed.
  • Flexible schedule as some nights and weekends are required. Travel to sites might be required.
  • Performs related work as required.

Minimum Entrance Qualifications:

  • Minimum of three (3) to four (4) years of full-time, or equivalent part-time, professional experience in event planning or activity coordination. 
  • Associate’s degree may count for up to one (1) year of required experience, bachelor’s degree may count for up to two (2) years of required experience. 
  • Ability to coordinate all aspects of an event or program, including logistics, correspondence, recruitment, and marketing.
  • Ability to establish and maintain relationships with partners, organizations, vendors, and older adults. 
  • Strong communication and interpersonal skills.
  • Proven logistical coordination skills ARE preferred. 
  • Strong written and oral communication skills.
  • Self-starter with strong time management ability.
  • Strong problem-solving ability.
  • Experience and comfort working with diverse communities, delivering services to a multiracial, multigenerational, multicultural, and multilingual population. 
  • Ability to convey information effectively and promote programs.
  • Strong interpersonal skills both in person and by phone.
  • Ability to accomplish projects and meet deadlines.
  • Strong customer service ethic and high expectations for quality.
  • Self-starter with strong time management ability.
  • Ability to prepare clear, concise, and comprehensive reports.
  • Ability to give team feedback.
  • Demonstrates proper use of databases and data management tools.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Compliance with documented policies and procedures.
  • Travel within Boston is required in support of the position’s responsibilities. 
  • MA driver’s license preferred.
  • Experience in typical office software systems (Microsoft Office, Google Suite, or equivalent) required. 
  • Bilingual (Spanish, Haitian Creole, CaboVerdean Creole, Vietnamese, Cantonese, or Mandarin) is highly preferred.
