Brief Job Description (essential functions of the job):

 

Under general direction, performs work of moderate difficulty in supervising an administrative section of the Building Department. Administers programs for Building and Structures including certificates of inspections, setting up database, data entry, mailing corresponding and providing reports to Building & Structures Division manager.

Responsibilities:

  • Plans, schedules, supervises, and reviews the work of subordinate clerical personnel.
  • Supervises the receipt and processing of applications.
  • Monitors access to previous departmental records on the property.
  • Monitors the receipt and recording of all monies paid to the Department for permits, licenses, publications, and/or certificates.
  • Assures the effective organization and operation of clerical units that record and file information relative to property in the City of Boston.
  • Ensures notification to owners of code violations reported.
  • Coordinates court action against owners who fail to make required corrections; follows through to final disposition of all complaints of violations and reported violations noted by the regular inspectional procedures.
  • Compiles data and prepares reports required by the supervisor.
  • Performs related work as required.

Minimum Entrance Qualifications:

  • At least three (3) years of full-time, or equivalent part-time, related experience in an administrative position is required.
  • Working knowledge of Hansen with Microsoft, Excel, Word, and Access is preferred.
  • Strong oral and written skills are preferred.
  • Ability to be cross-trained on other Building & Structures Division administrative tasks.
  • Ability to exercise good judgment and focus on detail as required by the job.
