Overview:

The City of Boston Law Department seeks a highly motivated and results-oriented Law Office Manager to join our dynamic team under the direction of the Corporation Counsel. The Office Manager plays a pivotal role in ensuring the smooth and efficient day-to-day operations of the Law Department, providing exceptional support to our attorneys, and fostering a positive client experience. This role is responsible for the administrative management of the Law Department and its satellite offices, including supervising all administrative staff and managing the physical space.   

 

Responsibilities:

Human Resources Management:

  • Acts as the department's HR/personnel officer and performs all associated duties, including but not limited to maintaining personnel benefits, leaves of absence, employee records, and compliance.
  • Lead team efforts for recruitment, hiring, staffing, and general human resources operations, including payroll, benefits, professional development, and performance management.
  • Supervise Law Department Support Staff, including but not limited to setting clear performance goals, providing regular feedback, and conducting performance reviews of support staff.

Strategic Office Management:

  • Develop, document, communicate, and implement department policies, practices, and procedures.
  • Ensure all staff are trained and compliant with department processes, fostering a culture of efficiency and optimized department productivity.
  • Interacts with other departments (OBM, OHR, etc.) and attends meetings as required.
  • Manage the strategy and planning of local office meetings and special events. 

Facilities Management:

  • Oversee office maintenance and supplies and process requests to pay office invoices, ensuring a professional and functional work environment.
  • Coordinate space planning and renovations as needed.
  • Manage the department's relationship with local building management and security.

Financial Oversight:

  • Manages the department's budget, ensuring responsible allocation of resources and overseeing financial reporting, accounting, billing, and bookkeeping.
  • Assist department management with developing the office's annual budget.
  • Oversee accounts payable and receivable.
  • Responsible for all department procurement functions, including managing outside vendor relationships.

Technology Integration:

  • Ability to learn the functionality of legal practice management software and its function in supporting and organizing the Law department's legal work is essential.
  • Works closely with the Operations Analyst to maintain and troubleshoot office technology infrastructure (including coordinating effectively with IT vendors and the Department of Innovation and Technology).
  • Perform related work as required.

Minimum Entrance Qualifications:

  • Five to seven (5-7) years of professional services management experience, preferably in a multi-office law firm.
  • A bachelor’s degree (or equivalent work experience) is required, and a degree in legal studies, paralegal studies, or business administration is a plus.
  • Must be proficient in Microsoft Office Suite, Google Suite, legal practice management software, and relevant cloud-based applications.
  • Experience working with BAIS Financials and BAIS HCM is preferred.
  • Solid understanding of office management from a financial, operational, and human resources perspective.
  • Proven record of aligning administrative services and resources, resulting in efficient and successful strategies
  • Ability to prioritize tasks, manage multiple deadlines, and work independently with accuracy and attention to detail.
  • Ability to develop and uphold accountability standards.
  • Ability to work in diverse teams and experience building strong relationships across a range of functional areas and seniority levels.
  • Proven record of building and leading high-performing teams.
  • Ability to communicate and work well with other City departments.
