Overview:

Under the general direction of the Deputy Commissioner of Administration & Finance or designee, the Administrative Assistant performs work of moderate difficulty in the large scale of purchasing a wide variety of commodities for various divisions within the Boston Fire Department. 

Responsibilities:

  • Participates in the review of purchase requisitions for a wide variety of supplies, materials, equipment and commodities for all City departments and agencies.
  • Utilizes the City's on-line system in the receipt, review, and processing of requisitions, purchase orders, bids, contracts, and commodities.
  • Prepares a summary of IFB’s and RFP’s recapping items and prices for Deputy Chief of Administration & Finance; submits recommendations for final approval and subsequent award of contracts to vendors.
  • Corresponds with City of Boston Procurement, Auditing, Law and Budget staff as well as conducts interviews with vendors concerning prices, terms, quality of product, delivery date, service delivery, adjustments, cancellation of bids and other related procurement matters.
  • Adheres to all procurement laws including chapter 30B and Chapter 149.
  • Periodically visits vendors' local place of business for review of current goods and current price lists.
  • Maintains an expertise in the development of specifications and use of on-line search capabilities for commodities and contracted items.
  • Develops and implements procedures to promote efficiency and improved cost control programs.
  • Performs related work as required. 

Minimum Entrance Qualifications:

  • Applicants must have at least three (3) years of full time or equivalent part-time, technical or professional experience in work of which the major duties included the procurement of materials, supplies, and equipment.
  • Bachelor’s degree from an accredited college or university is preferred and may be substituted for two (2) years’ experience.
  • Demonstrated and proven organizational skills for compliance and reporting purposes.
  • Must have broad knowledge of government procurement.
  • Past experience with Chapter 30B and Chapter 149 are preferred.
  • Good working knowledge of computers including; Microsoft Office, PeopleSoft Financials, Google Suite and all associated web based technology.
  • Proven communication skills, both oral and written.
  • Proven ability to assume responsibility and carry out assignments independently.
  • A basic knowledge of public safety and governmental operations is preferred.
  • Ability to exercise good judgment and focus on detail as required by the job.
