Overview:

This is a provisional appointment.

Brief Job Description (essential functions of the job):

Under the general supervision of the Assistant Commissioner of Plans and Zoning, the Administrative Analyst will provide administrative and technical support to the Plans and Zoning Division.

Responsibilities:

  • Processes intake reviews for long form permit applications for commercial, industrial and residential projects.
  • Makes preliminary review of plans and applications for building construction to ensure compliance with the documentation requirements for long form permit applications.
  • Refers plans to Chief Building Inspector or Associate Inspection Engineers as needed.
  • Verifies completion of necessary documentation.
  • Responds to calls and emails from internal and external customers.
  • Staff counter to respond to in person applicant questions.
  • Explains Department policies and procedures, laws, rules and regulations to the general public and to other agencies.
  • Performs other related duties as required.

Minimum Entrance Qualifications:

  • Must have at least four (4) years experience in reviewing permit applications and/or building permit records, and/or assisting the public in resolving complaints.
  • BA preferred or can be substituted by at least five (4) additional years of experience in a related field.
  • Familiarity with permitting process and reviewing plans preferred.
  • Assist in the administration and coordination of activities of the Department.
  • Good communication, decision making, and organizational skills.
  • Knowledgeable in the State Building Code, Zoning Code, and other federal, state and city regulations and laws.
  • Able to follow complex instructions, and to communicate effectively with employees and the general public.
  • Knowledge of Microsoft Word, Google Suite, Access, Hansen and/or other similar permitting programs.
  • Certification as a Permit Technician issued by the International Code Council is required within twelve (12) months of hire.
  • Ability to exercise good judgement and focus on detail as required by the job.
