Overview:

Under the direct supervision of the Director or designee, performs a variety of experienced office/business support to the City of Boston’s procurement team.

Responsibilities:

  • Maintain the procurement and maintenance of drinking water for all City of Boston employees.
  • Maintain and update a database that includes updates to delivery locations, department contacts, inventory needs for departments, and other general needs. 
  • Process change requests while coordinating with suppliers and requesting departments.
  • Confirm deliveries and inventory for all locations.
  • Review and process monthly invoices as well as department chargebacks.
  • Act as a liaison between the Environment department and city departments, requesting environmentally sustainable goods and services. 
  • Support the City of Boston’s surplus property policy.  
  • Performs other various related duties as required by the supervisor.

Minimum Entrance Qualifications:

  • High school diploma or general equivalency diploma is required OR college degree, specialized training, or equivalent work experience.
  • Minimum of three (3) years of full-time, or equivalent part-time, experience in clerical or office work, or related field. An associate's degree may count for up to one (1) year of required experience, and a bachelor’s degree may count for up to two (2) years of required experience.
  • Knowledge of professional office practices, procedures, and techniques, including the use of a PC and the use of Microsoft Office and Google Suite products.
  • Considerable knowledge of municipal contract and proposal procedures; ability to understand and carry out moderately complex directions.
  • Considerable knowledge of filing systems.
  • Ability to establish and maintain effective working relations with vendors and requisitioning departments.
  • Strong written and verbal communication skills.
  • Valid Massachusetts driver's license to visit various City locations on a weekly basis.
  • Project Coordinator experience.
  • Considerable knowledge of the Massachusetts State Environmentally Preferred Products.
