This is a provisional appointment.
The Human Resources Administrative Assistant provides administrative and operational support to the Human Resources Division. This role assists with recruitment coordination, employee data management, correspondence preparation, special projects, and general HR record-keeping to ensure the efficient delivery of services.
● Attend recruitment drives, job fairs, and candidate orientations.
● Provide administrative support to HR leadership, including scheduling meetings, preparing correspondence, and maintaining electronic and physical files.
● Telephone reception: transfers calls as needed, takes and delivers accurate, timely, and thorough messages, refers callers to outside other departments as needed.
● Assist with recruitment and onboarding processes, including posting job requisitions, scheduling interviews, pre-screening appointments, processing background checks, and preparing new hire packets.
● Assist with the creation and maintenance of BPD recruitment social media content.
● Maintain regular communication with prospective officer recruit candidates.
● Maintain employee records and ensure data integrity in HR systems such as PeopleSoft (or applicable HRIS).
● Prepare HR reports, spreadsheets, and presentation materials as needed.
● Respond to routine inquiries from employees, applicants, and departments, referring complex issues to the appropriate HR staff.
● Assist in coordinating training sessions, HR events, and staff communications.
● Maintain confidentiality of sensitive employee and organizational information.
● Serve as a backup to other HR Assistants as needed.
● Provide support for HR projects and assignments such as Recruit Classes, Promotional Exams, and Annual Compliance tracking.
● Perform other related work as required.
● Applicants must have a minimum of three (3) years of full-time or equivalent part-time paid professional experience in human resources or office work.
● High school diploma or equivalent required; an associate degree in business administration, human resources, or related field preferred, and may substitute for one (1) year of experience; a Bachelor's degree for two (2) years.
● Excellent organizational, communication (written and verbal), and customer service skills.
● Bilingual is a plus, but not required. (Spanish, Haitian Creole, Cape Verdean Creole, Chinese, and Vietnamese).
● Ability to exercise good judgment and focus on detail as required by the job.
● Ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced environment.
● Ability to maintain confidentiality and exercise sound judgment in handling sensitive matters.
● Professional demeanor and strong interpersonal skills.
● Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
● Experience with HRIS or applicant tracking systems (e.g., iCIMS, PeopleSoft, or similar) preferred.
● Preference will be given to applicants with office experience in a human resources environment and experience in HR systems.
