Overview:

Under the supervision of the Administrative Criminalist V, the Head Clerk & Secretary will be assigned to the Forensic Laboratory.

Responsibilities:

  • Receives and screens visitors to the Laboratory, arranges appointments, and assists with inquiries.
  • Attends telephone(s) and directs/transfers calls as appropriate.
  • Performs administrative and clerical functions under the direction of the Administrative Criminalist V/Criminalist V’s.
  • Types reports, memorandums, letters, and other correspondence, as needed.
  • Performs electronic data entry and retrieval.
  • Maintains files and records in accordance with laboratory policies and procedures.
  • Tracks, orders, and maintains clerical lab supplies.
  • May assist in requesting quotes and vendor communication for the Laboratory.
  • Photocopies/scans and prepares mailings of laboratory correspondence and reports, as needed.
  • Distribution of documents to appropriate agencies, as needed.
  • May assist in scheduling of forensic section/monthly/quarterly meetings.
  • Records minutes of laboratory meetings.
  • May assist in submitting weekly time and attendance sheets for the Laboratory.
  • May assist the Firearms Section with the data entry/validation of stolen guns.
  • Participate in continuing education, conferences, trainings, and other seminars relative to their position.
  • Performs any related duties as required.

Minimum Entrance Qualifications:

  • At least four (4) years of full-time, or equivalent part-time, paid administrative support experience in an office environment.
  • A High School Diploma or equivalent is required; an Associate's Degree may substitute for one (1) year of experience.
  • Experience in using Microsoft Office (Word, Excel, PowerPoint, Access, etc.) and Google Suite strongly preferred.
  • Clearly and effectively communicates information in both written and verbal formats.
  • Demonstrates professional and respectful communication with colleagues.
  • Strong organizational, oral, and written skills; must appreciate and respect the confidentiality of all situations.
  • Knowledge of routine laboratory safety rules, regulations, and procedures.
  • Ability to follow Standard Operating Procedures (SOPs).
  • Ability to establish and maintain effective working relationships with coworkers.
  • Strong time management skills with the ability to prioritize tasks effectively.
  • Maintains accurate and well-organized records, files, and documentation.
  • Detail-oriented with the ability to manage multiple tasks simultaneously. 
  • Must be able to exercise good judgment and focus on detail as required by the job.

 

BOSTON RESIDENCY REQUIRED.
PRE-EMPLOYMENT DRUG TEST AND PHYSICAL REQUIRED.
CRIMINAL RECORD CHECK REQUIRED.
