Overview:

This is a provisional appointment.

 

Under general direction, the Administrative Assistant will oversee the daily administrative operations of the Occupational Health Services Unit (OHSU.)  

Responsibilities:

  • Administrative support to the Director of the Occupational Health Services Unit and various on-site medical contractors.
  • Appointment scheduling, maintaining administrative systems for the monitoring and tracking of Department employees assigned to all units of the Human Resources Division and maintaining related payrolls.
  • Maintaining OHSU databases, preparing reports, tracking employees who are receiving worker’s compensation and 111F benefits.
  • Copying of files and charts, assisting in the preparation of disability and involuntary retirements.
  • Assisting with drug test scheduling and data collection, drug test collection, including hair and urine samples, in accordance with departmental policies.
  • General office / clerical functions.
  • Performs related work as required.

Minimum Entrance Qualifications:

  • Applicants must have at least four (4) years of full-time or equivalent part-time paid professional experience in administrative office work. Additional experience preferred. 
  • A bachelor’s degree may be substituted for two (2) years of the required experience. 
  • The ideal candidate should have excellent organizational, communication, writing and interpersonal skills.
  • Demonstrated attention to detail, a strong work ethic, and must appreciate and respect the confidentiality of all situations. 
  • It is strongly preferred that all applicants possess working knowledge of Microsoft Word, Excel, Access and use of GMAIL Suite. 
  • Ability to exercise good judgment and focus on detail as required by the job.
