Overview:

Position is responsible for managing the daily operations of the Age Strong Commission’s shuttle scheduling team. The Scheduling Manager will work closely with the Director and the Assistant Director of Transportation and assist with the planning and the day-to-day operations of the shuttle. This position will initiate and evaluate programs to meet the current and future transportation needs of older adults in Boston.

Responsibilities:

  • Manages the day-to-day scheduling operations for the Age Strong Shuttle. 
  • Supervises the Commission’s scheduling and dispatch staff including prioritizing and assigning work; conducting performance evaluations; ensuring staff is trained; and ensuring staff follow policies and procedures.
  • Manages, coordinates, and evaluates scheduling operations by developing and implementing program goals and objectives, and ensures the delivery of quality service. 
  • Manages software and serves as liaison between the Age Strong Shuttle and the scheduling software company and serves as the lead in coaching and training staff on any software changes. Handles escalated constituent complaints, and problem solves day-to-day issues. 
  • Assist the Director and Assistant Director of Transportation in developing, implementing, and managing the Commission’s transportation strategy as well as the day to day operations of the Age Strong Shuttle. 
  • Analyzes data and makes recommendations to support improved scheduling operations. Develop methods of flagging any issues related to scheduling software, operations, dispatch, and customer service. 
  • Coach and develop staff, routinely providing feedback regarding their development. 
  • Compiles and maintains all records. Prepares reports, and other required documents. 
  • Complies with the City of Boston Policies/Procedures protecting client information and the confidentiality of the information in accordance with the Federal and State regulations. 
  • Performs related work as required.

Minimum Entrance Qualifications:

  • At least three (3) years of full-time, or equivalent part-time, experience in the field of transportation operations, including managing a transportation service two (2) of which must be in a supervisory capacity. A bachelor’s degree in a related field and may be substituted for two (2) years of required experience. A master’s degree in the above mentioned fields is preferred and may be substituted for three (3) years of required experience. 
  • Ability to monitor and oversee scheduling software. 
  • Ability to implement and manage a variety of key initiatives concurrently.
  • Ability to work collaboratively with others including staff, constituents, and partners.
  • Strong organizational skills. 
  • Ability to work independently; to show flexibility and adapt to changing priorities.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Ability to prepare clear, concise and comprehensive reports. 
  • Ability to give team feedback and promote team environment. 
  • Ability to coordinate multiple projects and think strategically.

  • Experience and comfortability working with diverse communities, delivering services to a multiracial, multigenerational, multicultural, and multilingual population.

  • Compliance to documented policies and procedures. 
  • Experience in typical office software systems (Microsoft Office, and Google Suite) preferred. 
  • Bilingual (Spanish, Haitian Creole, Cabo Verdean Creole, Vietnamese, Cantonse, or Mandarin) preferred .
  • Knowledge of scheduling software highly preferred.
