Overview:

The Volunteer Program Coordinator is responsible for implementing the Commission’s volunteer program goals including: volunteer recruitment, volunteer orientation, and volunteer station monitoring.  This position is responsible for the coordination of an outreach plan to better engage a wide array of older adults in volunteer opportunities.  The position is also responsible for managing volunteer timesheets and maintaining a volunteer database. 

This position will have recurring access to vulnerable population as defined by AmeriCorps.

Responsibilities:

  • Coordinates the Commission volunteer programs; communicates ideas and opportunities for improvement.
  • Assists the Director in the administration of program grants to ensure compliance with grant requirements and regulations. 
  • Develops and manages partner relationships and serves as liaison with sites on all program related matters.
  • Manages volunteers including recruitment and placement.  In accordance with grant requirements, tracks volunteer service hours, reviews timesheets, and prepares necessary paperwork for stipends and other reimbursements.
  • Plans and coordinates monthly volunteer training opportunities.
  • Assists with the design, implementation and evaluation of all outreach and recruitment activities. 
  • Contributes to the Commission’s marketing strategy and plan. Drafts announcements, flyers & other outreach materials as required.
  • Assists with grant and budget preparation. Assists with the preparation of progress reports as needed.
  • Manages volunteer database.  Keeps up-to-date records of attendees, vendors, etc. 
  • Collects and reports statistical information.
  • Manages the volunteer on-boarding process including volunteer application, background checks and orientation. Responsible for coordinating volunteer satisfaction surveys.
  • Responds to all volunteer inquiries and provides information.
  • Assists with the planning and coordination of the annual recognition events and service days. 
  • Flexible schedule as some nights and weekends are required.  Travel to sites might be required.
  • Performs related duties as required.

Minimum Entrance Qualifications:

  • Minimum three (3) years of full-time, or equivalent part-time, experience in volunteer program management, public relations, customer service, or related field.  Experience working in programs for older persons preferred. Grant writing experience preferred.
  • Associate’s degree may count for up to one (1) year of required experience, bachelor’s degree may count for up to two (2) years of required experience.
  • Ability to coordinate all aspects of a program including: logistics, correspondence, recruitment, and marketing.
  • Strong written and oral communication skills, including public speaking.
  • Ability to convey information effectively and promote programs.
  • Effective leadership and team building skills.
  • Strong interpersonal skills both in person and by phone.
  • Ability to accomplish projects and meet deadlines.
  • Strong customer service ethic and high expectations for quality.
  • Self-starter with strong time management ability.
  • Ability to manage multiple projects simultaneously.
  • Ability to give team feedback.
  • Strong problem solving ability.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Travel within Boston may be required in support of the position’s responsibilities
  • Boston Residency required
  • Experience in typical office software systems (Microsoft Office, and Google Suite) preferred. 
  • Experience with Canva preferred
  • Bilingual (Spanish, Haitian Creole, CaboVerdean Creole, Vietnamese, Cantonse, or Mandarin) preferred .
  • Must have and maintain a current MA Driver’s License. 
  • Complies with City of Boston policies and procedures protecting client information and the confidentiality of the information.
