This is a provisional appointment.

 

Brief Job Description (essential functions of the job):

 

Under general supervision, serves as secretary and administrative aide to the Assistant Commissioner of Building, Inspectional Services Department.

Responsibilities:

  • Handles all correspondence for a small unit or divisions.
  • Had broad administrative and supervisory responsibility in the Inspectional Services Department.
  • Handles all office memorandum and confidential reports.
  • Arranges appointments, takes calls, answers inquiries, composes correspondence of a difficult nature, keeps confidential records.
  • Does other related duties as required. Performs related work as required.

Minimum Entrance Qualifications:

  • At least four (4) years of full-time, or equivalent part-time, experience in office or business administration, in which the major duties included one or more of the following functions: office management, records management, purchasing, or personnel administration, or any equivalent combination of the required experience.
  • An undergraduate degree from a recognized college or university may be substituted for two (2) years of the required experience.
  • Proven organizational skills, as well as strong oral and written communication skills.
  • Ability to work independently under deadline and with sensitivity to confidential matters.
  • Ability to establish and maintain effective working relationships with employees and managers.
  • Knowledge of software such as Microsoft Office preferred.
  • Ability to exercise good judgement and focus on detail as required by the job.

Boston Residency Required
