Overview:

Reporting to the Director of Operation, performs work of considerable difficulty and assists in all functions in the administration of departmental property, finance, office operational needs, motor vehicle management, space utilization, call center system management, space planning, financial and relate matters.

Responsibilities:

  • Responsible for the preparation and processing of goods, services, contracts, and RFPs procurements, non-order transactions, receipt and payment operations, and related BAIS Financials processes as required.
  • Responsible for the oversight, management, and disposition of departmental property, motor vehicle operation, office supplies, furniture, and equipment.
  • Ensures the proper maintenance and utilization of departmental physical space and related resources.
  • Serves as liaison to other units, departments and others regarding space, property, procurement, phone system, and related operational matters.
  • Negotiates with vendors and others concerning services related to Department’s operational needs.
  • Prepares analyses and reports for presentation.
  • Responds to requests from leadership and others and assists in the development and oversight of departmental programs, policies and procedures regarding property maintenance, space utilization, vehicle maintenance, phone system maintenance, and management issues.
  • Performs related duties as required.

Minimum Entrance Qualifications:

 

  • At least three years of professional experience in audit, finance, office administration, or purchasing management.
  • Must be able to lift a minimum of 50 pounds.
  • Bachelor’s degree in Business Administration or an equivalent may be substituted for two year of this experience.
  • Knowledge of laws, regulations, procedures and policies pertaining to property and space utilization, motor vehicle fleet operations, etc. preferred. 
  • Strong knowledge of the City’s procurement laws and policies preferred. Ability to exercise responsibility for property, equipment, supplies and space utilization preferred.
  • Proficiency in Microsoft Office, Google Suite, BAIS Financials and Windows operating systems for file sharing/ management preferred.
  • Demonstrated strong oral and written communication skills including presentation and negotiation skills preferred.
  • Strong work ethic, problem solving ability, knowledge of Assessing operations preferred.
  • Ability to carry out management procedures and prepare management reports, including use of organizational, planning, and customized software preferred.
  • Excellent interpersonal, teamwork and project management skills preferred.

 

 

City of Boston Residency Required

Safe Driving Record and Valid Massachusetts Driver's License

 

Terms:

Union/Salary Plan/Grade: SENA/MM1-6

35 hours per week
