Overview:

Under the direction of the Chief of Operations, serves as a connection point between Facilities, Events, and Security to ensure smooth execution of events, as well as daily activity in the Central Library.  Acts as lead liaison for COB initiatives and large gatherings involving support from multiple departments such as the Boston Marathon, Boston Book Festival, and First Night.  The Deputy serves as the 2nd in command of the Operations Division and supports the Chief of Operations in ensuring that Division priorities, objectives, strategies, and standards are followed and that communication and action plans are developed and effectively and efficiently implemented.

Responsibilities:

  • Oversees the Events Department
  • Takes part in strategic planning and daily management decisions.
  • Develops standard operating procedures = gaining buy-in from key stakeholders and leading effective change management.
  • Works in partnership with the Central Library Manager, Communications, and Director of Neighborhood Services to ensure the Boston Public Library is a welcoming space to all.
  • Assists in developing annual goals for the Operations Division and monitoring progress toward them.
  • Acts as a lead for large scale projects that do not fall under the scope of the Major Projects office.
  • Manages the handoff from PMO to Facilities for newly renovated branches, including developing new procedures as needed.
  • Oversees compliance with local policies, procedures, and contractual obligations, including permit compliance.
  • Represent Boston Public Library at meetings and events as appropriate.
  • Participate in RFP process and contract renewals for MEP contract, catering, security and others as needed.
  • Work in conjunction with Human Resources to effectively deal with departmental conflicts and provide adequate follow-up.
  • All other duties as assigned.

 

Minimum Entrance Qualifications:

  • Requires a minimum of five (5) years of progressively more responsible work experience, including experience in project management, programs and events.
  • Bachelor’s Degree in a related field from a recognized college or university.  In exceptional instances specialized education, training and/or experience may be substituted for part or all of the educational requirements. 
  • Strong verbal and written communication skills.
  • Ability to establish and ensure positive working relationships within BPL organization that will attract and retain high-quality team members.
  • Excellent time management and organizational skills, planning abilities, and the ability to effectively utilize performance metrics.
  • Ability to perform in a high stress environment.
  • Strong personnel management and staff development skills.
  • Collaborative work style with the ability to build strong working relationships at all levels within the organization.
  • Ability to create a culture of accountability and high performance to create a high-performing environment with strong leadership.
  • Ability to manage employee performance by setting and communicating standards, measuring results, and providing feedback.
  • Proficiency in Office 365, standard computer applications, spreadsheets, databases, and the Internet.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Residency - Must be a resident of the City of Boston upon the first day of hire.
  • CORI - Must successfully clear a Criminal Offenders Record Information check with the City of Boston.
