The City of Boston Treasury Department’s Trust Division is seeking an individual to manage grant making operations, systems, data, and workflow.  This division oversees over 300 charitable trust funds.


The program manager is responsible for daily funding activities, processing incoming grant applications, providing assistance to grant recipients; while supporting trustees, committees and commissions associated with the City of Boston Trusts.  The selected candidate will also work closely with the Trust finance staff to ensure payments are processed and tracked accurately, optimizing the grants administration process.


  • Serves as a key point of contact for all grant related inquiries.
  • Reviews grant requests for adequacy and accuracy.
  • Assures the smooth flow of funding from initial contact of application to closeout.
  • Coordinates and prepares meeting packages, recommendations, reports and presentations.
  • Provide detailed progress reports on the division’s funding activities.
  • Reviews grant reports to ensure requirements are met and addresses deficiencies. 
  •  Coordinates grant modifications.
  • Attends meetings, to provide technical assistance to partners and assess their stated use of funds.
  • Travel to jobs sites for site visits and documenting reports for customers and internal office team.
  • Serve as Trust Office liaison, and partake in board committee meetings as directed by the Trust Manager.
  • Manage transition project from planning phase to completion.
  • Provides support to the Trust Finance team with the annual audit and tax preparation.
  • Recommends changes in the grants management process and technology to improvise efficiency, transparency, compliance, and applicant experience.
  • Undertakes special projects related to the Trust division’s current, historical, and future funding programs.
  • Maintain ongoing client relationship and recognize future business opportunities.
  • Performs other duties as required.

Minimum Entrance Qualifications:

  • A bachelor’s degree required in a related field.
  • A Minimum of five years professional experience in philanthropy, grant management, and/or related experience.
  • Proven track record of building strong relationships with diverse stakeholders.
  • Financial literacy in budgeting and financial planning and reporting.
  • Experience with public sector programs and finances.
  • Program evaluation experience.
  • Ability to adapt to changes in work situations and prioritize to meet schedules and deadlines.
  • Strong communication, interpersonal, organizational and analytical skills.  
  • Project management skills preferred.
  • Ability to work independently and collaboratively with the team and outside departments and organizations.
  • Strong knowledge of Microsoft Office and Google Suite.
  • Capable of exercising good judgment and focusing on details as required.
  • Ability to travel to project sites.
  • Fluency in a second language is desirable, but not required.
