Overview:

Position is responsible for coordinating the Commission’s day-to-day administrative duties  and procurement processes.  The incumbent will work closely with the Senior Director of Finance & Administration on general administrative tasks, the City’s Property Management to ensure our space is adequate and organized, and the City’s Central Procurement to ensure procurement of goods and services comply with the City’s requirement.

Responsibilities:

  • Responsible for the requisition and distribution of office supplies, furniture, equipment, etc.
  • Responsible for developing and maintaining inventory control of supplies, furniture, and other materials, which may include: calculating materials needed; ordering supplies and materials when levels are low; organizing the storage of inventory; distributing supplies and inventories to staff, and/or related duties.
  • Liaise between the Age Strong Commission and Central Procurement, ensuring all standards and policies are followed for all purchases.  
  • Identify potential suppliers, act as liaison between department and suppliers; negotiate terms and deadlines with vendors and suppliers; manage an efficient flow of supplies, prepare and process requisition and purchase orders, and pay related payments.
  • Process and track, invoices, purchase orders, etc.
  • Maintain accurate records and prepare reports as needed.
  • Complies with City of Boston policies and procedures protecting client information and the confidentiality of the information.
  • Assists with front desk coverage and call center operations as needed.
  • Performs related work as required.
  • Assists with Commission events as needed.

Minimum Entrance Qualifications:

  • Minimum of 2 years of full-time, or equivalent part-time experience in office administration, purchasing management, or related field.
  • Associate Degree may count up to one (1) year of required experience, Bachelor’s degree may count for up to (2) years of required experience.  
  • Working knowledge of the City’s procurement laws and policies preferred.
  • Professional, adaptable and collaborative attitude.

  • Strong verbal and written communication skills. 
  • Strong work ethic. 
  • Comfortable multitasking and prioritizing tasks without guidance.
  • Problem solving ability.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Working knowledge of Microsoft Office and Google Suite preferred.
  • Bilingual (Spanish, Haitian Creole, CaboVerdean Creole, Vietnamese, Cantonese, or Mandarin) preferred.
