Overview:

The Chief of Staff will build the foundation for the Office of Participatory Budgeting, supporting the Director in driving the Office's mission and goals with critical attention to equity, access, and inclusion. Under the direction of the Director, the Chief of Staff will be responsible for planning and directing all administrative, financial, and operational activities. The successful incumbent will organize and prioritize critical issues and required information for the Director to facilitate efficient decision-making. The Chief of Staff will be a point of contact between management and other stakeholders. It will also provide oversight and guidance to projects of high importance and be responsible for the management of support staff.

Responsibilities:

  • Assists the Director in the development of the department's strategic plans and goals, including defining the department's core values. Implements and manages plans.
  • Provides executive oversight of major department initiatives, working with a variety of teams and leadership to align internal and external resources to ensure successful project completion.
  • Advises on and contributes to policy, strategic planning, budget development, and human resources issues for the Department.
  • Leads various strategic initiatives for the Office of Participatory Budgeting, including but not limited to operations, staffing, and special projects.
  • Coordinates and manages cross-departmental issues and projects, including communications and the development and maintenance of department policies, protocols and procedures.
  • Prepares and/or contributes to preparing reports, briefings, presentations, and responses on strategic issues, as appropriate.
  • Represents the Director and Department in various settings, as required.
  • Manages the office’s day to day operations.
  • Supports in the recruitment and hiring of new office staff.
  • Assists the Director with organizing professional development training for staff and ensures each staff member is following their growth plan.
  • Conducts and completes annual performance evaluations in a timely fashion in partnership with the Director.
  • Acts as a primary point-of-contact for departments.
  • Supervises projects on behalf of the Director.
  • Supports management, ensuring adequate resources and infrastructure to achieve goals.
  • Supports the Director in the annual budget process.
  • Performs related duties as required.

Minimum Entrance Qualifications:

  • Applicant must possess at least four (4) years of full time, or equivalent part time professional and project management experience, two (2) years of which must have been in a supervisory capacity.
  • Experience in working with multiple and diverse stakeholders around a common goal or complex initiative is preferred.
  • A bachelor's degree from an accredited college or university in public administration, business management, finance preferred.
  • Exceptional interpersonal skills and ability to interact effectively with all levels of staff and various stakeholders.
  • Advanced analytical, evaluative, and objective critical thinking skills.
  • Two (2) years Human Resources experience preferred, but not required.
  • Ability to take initiative and work independently and as part of the team.
  • Ability to organize and inspire cooperation and collaboration.
  • Ability to perform complex tasks and manage multiple projects.
  • Demonstrated leadership, organizational, and management skills.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Proficiency in Microsoft Office and Google Suite.
  • Excellent oral, written and presentation skills.
  • Strong quantitative and analytical skills.

Boston residency required
