Overview:

Brief Job Description (essential functions of the job):

 

The Director of Administration and Finance oversees the day-to-day Grants Management functions, Building and Financial operations of the Boston Centers for Youth and Families Agency at the City of Boston.

Responsibilities:

  • Serves the Commissioner and Leadership Team.
  • Responsible for the immediate supervision of the Finance and Grant Management team.
  • Oversees the Budget & Financial operations and functions of the department.
  • Leads the development and implementation of procedures that enhance the effectiveness of the Finance division's functions, grants management, contract management and financial operations including accounts payable and receivables.
  • Develop and oversee budgets, prepare and monitor purchase requisitions for supplies, collect data and reporting information and compile monthly reports on program progress.
  • Oversees contract procedures and ensures all necessary follow-up regarding contract business.
  • Provides technical assistance to Facilities on areas of grant and contract management, administration and finance.
  • Responsible for overseeing the development and distribution of various procedural statements as outlined by the BCYF Operations Manual.
  • Supervises procurements and expenditures against all sources of funding both operating, capital and external.
  • Prepares statistical reports, charts, and works with the appropriate management staff to evaluate data.
  • Develops procedural guidelines in all areas relevant to administrative and financial procedure in conjunction with appropriate staff.
  • Develops resource materials for training and provides technical assistance and training for Staff regarding administrative and financial policies and procedures.
  • Acts on behalf of the Commissioner, as needed, in all essential areas of budget, administration and finance.
  • Performs related work as required.

Minimum Entrance Qualifications:

  • Four (4) years in administration and finance management.
  • Two (2) years’ experience in management and supervision of City of Boston systems preferred
  • Bachelor’s Degree in Business Administration, Business Management, Financial Management, Accounting and/or related field required.
  • Familiarity with rules and regulations governing non-profit, 501(c) (3) organizations also preferred.
  • Excellent writing and verbal communication skills.
  • Ability to set and manage priorities in a changing work environment.
  • Ability to work effectively in a multicultural, multi-ethnic work environment.
  • Superior organizational skills including ability to execute plans.
  • Knowledge of budget preparations and procedures is required.
  • Strong managerial and interpersonal skills.
  • Working knowledge of PeopleSoft HRMS and Financial preferred.
  • Strong computer knowledge required, including advanced skills in Microsoft, Word, Excel, PowerPoint and Access.
  • Demonstrated commitment to Diversity, Equity and Inclusion (DEI) and fostering inclusive work environments.
  • Proven commitment to addressing urban social issues and/or supporting positive youth development programs.
  • Ability to exercise good judgement and focus on detail as required by the job.
