Overview:

Under the general supervision of an employee of a higher grade, provide administrative support to the Emergency Medical Response Chief and the Emergency Medical Response Division staff.

Responsibilities:

 

  • Responsible for entering and maintaining all Emergency Medical Response Department (EMRD) related documents in Target Solutions.
  • Maintains files and records documenting first aid training for the Fire Department First Responders.
  • Assists in the preparing documents needed for an AHA audit for the cardiopulmonary resuscitation training for the American Heart Association.
  • Enters and maintains current and accurate records documenting Automatic External Defibrillator Training (AED) of certified members.
  • Responsible for entering and notifying Boston Emergency Medical Service (EMS) of Boston Fire Department (BFD) members trained each quarter in the use of Automatic External Defibrillator (AED).
  • Responsible for notifying the department defibrillator instructors of those members in need of training and keeping accurate records of training schedules.
  • Maintains current and accurate records of members Emergency Medical Technicians (EMT) status.
  • Responsible for documenting Continuing Education Units (CEU’s) for all licensed Emergency Medical Technicians (EMT).
  • Maintain records for the Critical Incident Stress Management (CISM) team.
  • Prepare status grant contract application each year for Critical Incident Stress Management (CISM).
  • Responsible for scheduling and notifying all members of the Quality Improvement Board meetings between the Fire Department and Boston Emergency Medical Service (EMS) and responds to requests by attorney for medical reports used by the Department.
  • Performs other related duties as assigned and also will provide phone coverage for the switchboard operator.
  • Maintains files and records documenting all first aid training for over 1000 Fire Department first responders.
  • Submits all continuing education course applications and course outlines to the Department of Public Health/Office of Emergency Medical Services for approval in order to receive continuing education credits.
  • Enters and maintains accurate records and files of all continuing education approved courses.
  • Adds, updates and maintains all official Emergency Medical Technicians (EMT) certification records in PeopleSoft BAIS/HCM system.
  • Enters and maintains current and accurate records of members Emergency Medical Technicians (EMT) status in Target Solutions.
  • Responsible for the accurate and timely tracking of the member’s Emergancy Medical Technicians (EMT) certifications, under the direction of the District Chief.
  • Submit Emergency Medical Technicians (EMT) stipend requests to the Boston Fire Department (BFD) Human Resources for Fire Fighters on Probation (FFOP’s) or other members who become EMT certified for the first time.
  • Works closely with City of Boston Office of Human Resources regarding licenses.
  • Prepare and enter rosters for continuing education Office of Emergency Managment System's (OEMS) approved courses at headquarters.
  • Enters and maintains document department-sponsored Continuing Education Classes for all Emergency Medical Technicians (EMT) on Target.
  • Researchs and resolves Boston Fire Emergency Medical Technician (EMT) discrepancies regarding their continuing education credit hours with the District Chief.
  • Runs completion reports on Target Solutions as needed to check on the member’s Emergency Medical Technician (EMT) status.
  • Provides administrative support to the Boston Fire Department Rehabilitation Unit.
  • Provides administrative support to the Training Division.
  • Fields incoming phone calls and direct to appropriate members.
  • Sorts and distribute all incoming mail for the Emergency Medical Response (EMR) and Training Divisions.
  • Assists with other Emergency Medical Response (EMR) Division projects as needed.
  • Perform related duties as assigned.

 

Minimum Entrance Qualifications:

  • A minimum of three (3) years of full-time, or equivalent part-time, office experience.
  • Thorough knowledge of office practices and procedures; including data processing and record keeping.
  • Proficient in Google and Microsoft Office Suite, with emphasis on Microsoft Access.
  • Demonstrated flexibility and adaptability to perform related duties as required.
  • Excellent interpersonal skills using tact, patience, professionalism and courtesy.
  • Must have good oral and written communication skills.
