Overview:

The Policy Assistant within the Policy Team in the Mayor’s Office is responsible for managing administrative and operational responsibilities related to policymaking, policy communications, and policy-related community engagement, with a focus on supporting City of Boston boards and commissions. This includes, but is not limited to, coordinating and facilitating the scheduling of internal and external stakeholders; managing the overall organization of materials for the policy team, including paper flow to the Mayor; and assisting on special projects, as needed. The position frequently acts as a liaison to administration officials, particularly Executive Secretaries of various boards and commissions, as well as external stakeholders, the media, and residents of Boston. The position may have exceptional opportunities for growth and offers a high level of hands-on experience for the right individual.

Responsibilities:

  • Manages the daily calendar for the Policy Team, such as planning and coordinating all details related to meetings and events and preparation of written materials for policy team members.
  • Performs administrative functions including triaging emails and other inquiries and responding promptly and courteously.
  • Tracks the status of appointments to City boards and commissions and acts as a liaison between the Mayor’s Office and City departments and external organizations regarding nominations.
  • Assists interested community members through the boards and commission applications process and proactively recruits new applicants, particularly from underrepresented communities.
  • Collaborates regularly with City departments and Executive Secretaries who staff various boards and commissions to monitor and facilitate appointments.
  • Supports the management of boards and commissions, including language and communications access, ethics training and website management.
  • Assists the Chief and Deputy Chief of Policy with special projects.
  • Represents Policy Team and the Mayor's Office in a professional manner.
  • Performs related duties as required.

Minimum Entrance Qualifications:

  • At least three (3) years full-time, or equivalent part-time, professional experience.
  • A bachelor’s degree (or equivalent experience) is preferred and may be substituted for two (2) years of the
    required experience.
  • Experience with Microsoft Word, Excel, PowerPoint, as well as Google Workspace tools.
  • Demonstrated commitment to community building, civic engagement, equity and justice.
  • Strong verbal and written communication skills; ability to adapt communication style to different communities and audiences.
  • Strong interpersonal skills; willingness to work as part of a multicultural team; commitment to building genuine, respectful relationships with internal and external partners.
  • Strong organizational skills and attention to detail
  • Ability to maintain calm under pressure and in high-stress situations
  • Ability to multitasks, establish priorities and think strategically, collaboratively and proactively.
  • Ability to exercise discretion and good judgement; maintain confidentiality with highly sensitive information.

Boston residency required
