Overview:

Brief Job Description:

 

Under the direction of the Chairperson, the Senior Administrative Assistant will be responsible for performing work of considerable difficulty pertaining to the day to day administration of personnel activities. 

Responsibilities:

  • Oversees the management of the city’s attendance program, implementation of city policies, directives and initiatives.
  • Prepares personnel forms and correspondence, conducts Interviews and screens applicants for employment in the department,   processes  payroll, manages timesheets and the implementation of personnel policies.
  • Serves as liaison to the office of Human Resources, Labor Relations, and other City Departments
  • Handles all matters of confidential nature as directed by the Chairperson.
  • Assist the Chairperson and other Departmental managers in formulating and implementing policies and initiatives for promoting the goals of the Election Commission.
  • Recruits workers to serve as election day Poll Workers.
  • Performs other related duties as assigned by the Chairperson.

 

Minimum Entrance Qualifications:

  • At least three (3) years of full-time or equivalent part-time professional experience in personnel work and/or office management with one (1) year in a supervisory role preferred. 
  • Knowledge of election related laws and procedures preferred.
  • Must be a registered voter in the city of Boston (M.G.L., Chapter 51, section 25).
  • Ability to follow complex instructions and to effectively communicate with employees and the general public.
  • Must have excellent oral and written communication skills and the ability to conduct interviews, train and screen potential employees.
  • Thorough Knowledge of labor laws and procedures pertaining to union employees.
  • Working knowledge of Microsoft, Excel, Peoplesoft, iCIMS and other City computer programs.
  • Ability to exercise good judgment and focus on details as required by the job.

 

Must work flexible shifts during election and listing periods.

Boston Residency Required.

Union/SalaryPlan/Grade: MM1-7
