Brief Job Description (essential functions of the job):


Under the general supervision of the Director of Transportation, assists in planning, directing, managing and performing daily application and user administration duties in support of the department's fleet management applications.


  • Serves as the department's liaison between fleet management software program developers, technical support staff, as well as internal and external entities using the same or similar software programs and conveys information to such entities as required.
  • Serves as the department's liaison between its parts inventory function to ensure that parts information is properly recorded in the department's fleet management applications.
  • Inputs information into the Fleet Management system to record outside contractual services work performed on the BFD fleet.
  • Works in conjunction with internal departments and external contacts to identify and communicate changes associated with new version implementation or enhancements.
  • Inputs/prepares information for upload to the Fleet Management system, including such items as new equipment, surplus equipment, preventive maintenance schedule information and other fleet information.
  • In a test environment, validates the functional requirements of the new version or upgrades. Works with technical support staff to ensure new and/or enhanced systems/subsystems function correctly.
  • Responsible for training of fleet software users.
  • Maintains professional knowledge by attendance and completion of seminars, training courses, and keeping up to date with new technologies as required and provided by the department.
  • Assists other units of the Maintenance Division as needed, including performs responsibilities of a similar nature for the department's facilities software on a back-up basis.
  • Performs phone coverage, processing of incoming mail, maintaining office filing systems, correspondence and reports as directed.
  • Runs reports from the Fleet Management system as directed.
  • Performs related work as required.

Minimum Entrance Qualifications:

  • Applicants must have at least three (3) years of full-time, or equivalent part-time, experience in office or business administration using software applications.
  • Educational substitutions will be permitted for a maximum of two (2) years of required experience.
  • Experience in Microsoft Office, including Word, Excel and Access.
  • Experience with Fleet management software is preferred.
  • Ability to express ideas clearly both in written and oral communication.
  • Ability to exercise good judgment and focus on detail as required by the job.
