Brief Job Description (essential functions of the job):


Under general supervision, the Assistant Principal Accountant is assigned to Boston Fire Department’s Payroll office and reports to the Director of Payroll or delegate. The Asst. Principal Accountant is responsible for the payroll of approximately 320 employees on a weekly basis and covers additional employees as required.


The BFD is in the process of implementing a new integrated Tour Reporting scheduling system (Kronos/TeleStaff) for approximately 1,500 Firefighters. This scheduling system will act as an interface to the current payroll system (PeopleSoft). This job description covers current responsibilities as well as the transition responsibilities for Kronos/TeleStaff.


  • Reviews time and labor payroll data and performs daily data entry using the existing tour report system, which requires a high degree of concentration and decision making along with attention to detail and the ability to meet critical daily deadlines.
  • Analyzes and verifies the accuracy of the data interface to PeopleSoft and reconcile any discrepancies in the Kronos/Telestaff Tour Reporting system.
  • Performs corrections and/or adjustments in the time and labor payroll system (HCM) based on the Telestaff tour report system.
  • Ensures the receipt of payroll data for all tour reports and follows up regarding missing or inaccurate data.
  • Runs and reviews daily payroll reports and queries for completion and accuracy.
  • Maintains weekly files for the proper sorting and distribution of payroll checks, general filing and other related duties.
  • Completes appropriate forms for wage verifications, requests from attorneys and/or subpoenas. Verifies authorization to release wages and provides back up documentation.
  • Processes and maintains weekly up-load files for vacation, personal tours, and buy backs.
  • Assists with the data entry of detail cards and follows up on missing or inaccurate data as required.
  • Maintains, updates and distributes light duty lists for data entry.
  • Ensures work performed complies with union contracts.
  • Answers telephone and email inquiries related to payroll; provides assistance to employees with questions concerning deductions for dental, health, life insurance, retirement, deferred compensation, etc.
  • Provides assistance and instructions to employees with questions relating to payroll issues, such as tax forms, direct deposit, changes in deduction and garnishments.
  • Maintains confidentiality in payroll and personnel information.
  • Provides support on special projects as deemed appropriate.
  • Performs related work as required.

Minimum Entrance Qualifications:

  • Applicant must have at least (2) two years of full-time, or equivalent part-time, experience in which the major duties include accounting or payroll.
  • Experience in data entry, Microsoft Word and Excel preferred.
  • Knowledge of PeopleSoft and TeleStaff/Kronos is preferred.
  • Highly organized with a strong attention to detail and the ability to multitask, establish priorities and meet deadlines.
  • Willingness to initiate improvement and expansion of existing systems.
  • Strong interpersonal skills and willingness to work as part of a team.
  • Ability to exercise good judgment and focus on detail as required by the job.
