Overview:

Brief Job Description:

 

Under direction, serves as an administrative assistant to a division or department head. Performs a wide variety of important administrative tasks and procedures with strong attention to detail. For a portion of time, represents the department as the first point of contact for Incoming visitors and callers.

Responsibilities:

  • Greet and screen visitors to the unit, arrange appointments, answer phone calls and inquiries,
  • Independently compose routine correspondence; maintain confidential records and correspondence files.
  • Performs administrative tasks, such as photocopying, scanning, faxing, mailing documents, and sort and distribute mail throughout the unit.
  • Proficient in inputting and retrieving data from a computer databases.
  • Responsible for maintaining and processing all Design and Construction records, as well as creating a centralized filing system.
  • Prepares and submits weekly time and attendance sheets for the division to the Personnel Unit for processing.
  • Handle administrative detail for various projects throughout the department.
  • Provide administrative support for project outreach by distributing flyers in the neighborhoods of Boston.
  • Create and maintain an electronic library for proposals.
  • Schedule and coordinate staff and other meetings
  • Other duties as assigned.

Minimum Entrance Qualifications:

  • At least two (2) years of full-time, or equivalent part-time, professional experience in office or business management or administration required.
  • Appropriate educational substitutions may be made.
  • Knowledge of budget practices, regulations, procedures, programs, and policies preferred.
  • Demonstrated organizational and analytical skills preferred with strong project management skills.
  • Good oral and written communication skills are preferred.
  • Strong interpersonal and teamwork skills are preferred.
  • Strong skills in spreadsheet and database software preferred.
  • Ability to solve problems, act creatively, manage multiple tasks, and meet deadlines preferred.
  • Ability to exercise good judgment and focus on details as required by the job.
