Brief Job Description (essential functions of the job):

The Volunteer Program Coordinator is responsible for implementing the Commission’s volunteer program goals including: volunteer recruitment, volunteer orientation, and volunteer station monitoring. This position is responsible for the coordination of an outreach plan to better engage a wide array of older adults in volunteer opportunities.

The position is also responsible for managing volunteer timesheets and maintaining a volunteer database. This position will have recurring access to vulnerable population as defined by the Corporation for National and Community Service (CNCS).

Responsibilities:

  • Assists with the coordination and evaluation of all Commission volunteer programs; communicates ideas and opportunities for improvement.
  • Coordinates logistics related to volunteer programs throughout Boston including volunteer recruitment, volunteer placement, volunteer site monitoring, etc. Travels to sites as required.
  • Responds to all volunteer inquiries and provides information.
  • Assists in the development of outreach plans to engage older adults in volunteer opportunities.
  • Assists in the administration of program grants to ensure compliance with grant requirements and regulations.
  • Assists with grant preparation and program reporting as needed.
  • Assists with annual recognition events and service days.
  • Coordinates the volunteer on-boarding process including volunteer application, background checks and orientation; assists with volunteer evaluation.
  • Serves as a liaison between the Commission and volunteer stations.
  • Tracks volunteer service hours, reviews timesheets, and prepares necessary paperwork for stipends and other reimbursements.
  • Coordinates meeting and training opportunities for volunteers.
  • Assists with preparing program budget and provides periodic progress reports.
  • Drafts flyers & other outreach materials as required.
  • Assists with the preparation of program grants.
  • Handles volunteer program related questions, ensuring answers provided in a timely manner.
  • Complies with the City of Boston Policies/Procedures protecting client information and the confidentiality of the information in accordance with the Federal and State regulations.
  • Assists with Commission events as needed.
  • Performs related work as required.

Minimum Entrance Qualifications:

  • Minimum of two (2) years of full-time, or equivalent part-time, experience in volunteer program management, public relations, customer service, or related field. Experience working in programs for older persons preferred. Grant writing experience preferred.
  • Associate’s degree may count for up to one (1) year of required experience, bachelor’s degree may count for up to two (2) years of required experience.
  • Ability to coordinate all aspects of a program including: logistics, correspondence, recruitment, and marketing.
  • Strong written and oral communication skills, including public speaking.
  • Ability to convey information effectively and promote programs.
  • Effective leadership and team building skills.
  • Strong interpersonal skills both in person and by phone.
  • Ability to accomplish projects and meet deadlines.
  • Strong customer service ethic and high expectations for quality.
  • Self-starter with strong time management ability.
  • Ability to manage multiple projects simultaneously.
  • Ability to give team feedback.
  • Strong problem solving ability.
  • Experience in typical office software systems (Microsoft Office or equivalent) preferred.
  • Experience with Access and InDesign preferred.
  • Bilingual highly preferred.
  • Travel within Boston may be required in support of the position’s responsibilities.
  • Ability to exercise good judgment and focus on detail as required by the job.

 

Must have and maintain a current MA Driver’s License.

 

Subject to CORI, S.O.R.I and Finger Printing.
