Overview:

Brief Job Description (essential functions of the job):

 

Responsibilities may include providing organizational or departmental information to volunteers, community members, and/or internal staff; answering questions within established procedures; prioritizing tasks; scheduling appointments and/or activities; compiling, tracking and reviewing data and reports; preparing, reviewing, revising and distributing standard documents and correspondence; and performing basic quantitative and qualitative reviews of data.  May prioritize and monitor work of interns and/or volunteers.

This position will have recurring access to vulnerable population as defined by the Corporation for National and Community Service (CNCS).

Responsibilities:

  • Provides information to volunteers, community members and/or internal staff in person, via e-mail, and over the phone; responds to requests within established procedures.
  • Schedules appointments and activities; prioritizes tasks and monitors work of part-time staff and/or volunteers.
  • Compiles, tracks and reviews routine and/or specialized paperwork, forms, reports, and/or confidential information related to assigned area of responsibility, ensuring completeness and accuracy of information; maintains related records.  
  • Performs basic quantitative and qualitative reviews of data; prepares and reviews a variety of information into applicable documents, spreadsheets, travel authorizations, timesheets, requisitions, solicitation documents, invoices, rosters, work orders, databases, logs, forms, and/or other related areas, utilizing established guidelines and procedures.
  • Inputs and tracks meal and travel expense vouchers for the Senior Companion and Retired Senior Volunteer programs.
  • Provides internal technical assistance and new software training to Elderly Commission staff.
  • Assists in managing interns and volunteers
  • Provides assistance to Commission units and programs
  • Performs related work as required

Minimum Entrance Qualifications:

  • Minimum two (2) years of full-time, or equivalent part-time, experience in clerical or office work, customer service, or related field.  Experience working in programs for older persons preferred.
  • Associate’s degree may count for up to one (1) year of required experience, bachelor’s degree may count for up to two (2) years of required experience.
  • Compliance to documented policies and procedures.
  • Ability to give team feedback.
  • Problem solving ability.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Experience in typical office software systems (Microsoft Office or equivalent) preferred. 
  • Bilingual preferred.
  • Subject to CORI, Sex Offender Registry, Finger Printing, and a Criminal Background check.

Boston Residency Required.
