Overview:

Brief Job Description (essential functions of the job): 

 

Reporting to the Deputy Director, the Staff Assistant performs organizational and administrative functions for the Office of Fair Housing and Equity, enabling the Office to fulfill its mission to ensure fair and equitable access to housing for all residents of Boston.

Responsibilities:

  • Supports the Intake process, which collects constituent information in order to process a formal discrimination complaint and activate an investigation; enters data into internal databases; drafts formal written complaint.
  • Supports the development of Office forms, documents, and presentations.
  • Maintains the Office website and supports the creation of office graphics, infographics, and other marketing materials.
  • Supports Office special initiatives and projects as needed.
  • Supports the data entry and compilation of the Office.
  • Develops and organizes a filing system and maintain files, both physical and electronic.
  • Produces meeting minutes for the Boston Fair Housing Commission meetings in accordance with open meeting and public records laws, and other department meetings as necessary and requested.
  • Processes responses to public records requests, procures stenographer and/or constable services as needed.
  • Provides scheduling support of various meetings and events and communicating with all involved parties to ensure timely notification and attendance.
  • Provides clerical support including but not limited to email management, answering/returning calls, constituent services.
  • Performs related work as required.

Minimum Entrance Qualifications:

At least two (2) years of full time, or equivalent part-time, office management or administration
experience.

● Strong organizational skills; detail oriented with strong time management and data entry skills
required.
● Strong oral and written communication skills required.
● Proficiency with software such as Microsoft Office, Windows and Google suite required.
● Ability to maintain confidential files; to coordinate activities; and to prepare minutes,
correspondence, reports and statistics as required.
● Ability to create timelines and meet deadlines, exercise initiative, work independently and as
part of a team.
● Ability to organize and complete work according to established procedures and timelines.
● Ability to exercise good judgment and focus on detail as required by the job.

THIS POSITION IS TEMPORARY AND GRANT FUNDED FOR 1 YEAR WITH BENEFITS.
