    Brief Job Description (essential functions of the job):

     

    The Major Projects Coordinator assists in the implementation of system-wide improvements and initiatives organized as major and/or capital projects of the Boston Public Library, ensuring projects and initiatives are aligned with the vision and strategic plans of the Boston Public Library, state of the art thinking about the future of library services and current best practices in the field of public library services with a particular focus on both space - layout and design. This role is part of the library project management office, and coordinates project activities in conjunction with Library management, City of Boston colleagues and other stakeholders as assigned. This individual also acts as the project manager on a number of system-wide projects. Day to day duties involve coordination of complex projects involving multiple areas of library operations and services, responsibility for guiding major capital projects and operating initiatives. Key skills include: facility renovation, design and construction management, project management, communication and an appreciation of public libraries.

    Responsibilities:

    Scope of Responsibility

    1. Is responsible for all internal coordination and oversight of assigned BPL capital or major projects and acts as a liaison to the City of Boston’s Property and Construction Management department, as well as other key BPL and City of Boston departments and personnel. Will coordinate with internal and external partners on all aspects of project oversight and provides a supporting role as a liaison for scheduling, managing operational impacts, and maintenance of BPL project documentation. 
    2. As the Library’s representative, participates in the written review of documents prior to bid, awarding of contracts and review of change orders, to ensure alignment with BPL goals.
    3. As the Library’s representative assists with the review of designs, plans, drawings and specifications using computer assisted design (CAD) software at a basic level.
    4. As the Library’s representative, using formal or informal knowledge of construction procedures, reviews on-site work with key project leadership personnel, to ensure alignment with BPL goals and ensures progress reports are available for BPL stakeholders following visits.
    5. Oversees a minimum of 1-2 BPL projects at various stages of work, including FF&E focused projects, in additional to a small number of critical mid-size projects.
    6. Schedules and attends meetings, prepares meeting materials, develops agendas, and ensures minutes are available particularly for internal project team meetings, as appropriate.
    7. Assists in the development and execution of communications plans on a program and project basis.
    8. Initiates and maintains appropriate working relationships with staff within the Library and with other city departments and partners.
    9. Conducts research and surveys current industry standards with respect to recent/current innovations and thinking on the future of library services relevant to specific projects and goals. Helps determine projects goals for space and programming activities, including the development of goals, metrics for success and evaluative measures to assess progress and ongoing improvement
    10. Performs other related and comparable duties as assigned.  Performs related work as required.

    1. Education – Bachelor’s Degree in Architecture, Urban Planning, Business Administration; or Bachelor’s Degree in another field combined with Project Management (PMP) certification or equivalent.
    2. Experience – Minimum of 2 years related experience in residential, commercial and/or institutional planning, renovation or construction projects.
    3. Requirements –Knowledge and understanding of construction practices and general municipal contract processes preferred. Valid driver’s license required.
    4. Residency – Must be a resident of the City of Boston upon the first day of hire.
    5. CORI – Must successfully clear a Criminal Offenders Record Information check with the City of Boston.
