  • Overview:

    Position Overview
    Is responsible for the supervision and oversight of facility management activities on nights
    and weekends. The position includes managing the activities of custodians, coordinating
    event preparation, including Marathon and snow removal activities and evaluating existing operations and establishing protocols and procedures and recommendations to monitor and improve service overall. Primary supervision of all Central Library custodians.

    Responsibilities:

    Scope of Responsibility

    1. As scheduled, serves as primary liaison supervising and coordinating with events and programs including those scheduled for nights and weekends. Supports BPL Events Office in implementing the plans for events and programs, supporting function planners, coordinating set-up, organizing and supervising routine and specialized onsite event operations. Serves as the night and weekend liaison for custodial services, HVAC and other contractor services, AV services, associated trade services, and other required operations.
    2. Oversees all maintenance and contractor activities that occur on nights and weekends. Supervises and evaluates routine and specialized work of all Central Library custodians for overall effectiveness and foster staff cohesiveness.

    3. Coordinates all maintenance and construction activity at branches that occurs on nights and weekends. Assists in establishing standards, specific duties and schedules for cleaning and maintenance of Library buildings that occur on nights and weekends. Responsible for monitoring and directing staff performing cleaning duties for both interior and exterior of the Central Library.

    4. Participates in planning and review of capital construction projects. Assists with development and conducting of training for custodial staff in appropriate
    cleaning and maintenance techniques.

    5. Assists with implementation of routine and periodic cleaning and preventive maintenance schedules. Fills in for other Facility Managers in their absence.

    6. Assists in interaction with fire and law enforcement officials on nights and weekends and during public events and programs. Assists in coordinating response calls to service related contract vendors such as elevator and fire alarm service and glass repair. Represents the Library during emergencies while on duty.

    7. Assists in managing snow removal. Assists with organizing emergency response to weather-related and other safety conditions.

    8. Assists with inventory, ordering, distribution, and stocking, of facility supplies and equipment, using current inventory control methodology. Assists with the monitoring and ordering of supplies and equipment via the COB/BIAS system. Monitors inventories and the proper distribution, stocking, neatness of secondary storage locations and central warehouse

    9. Assists with the care, upkeep and maintenance and safe storage of Facilities equipment used for general cleaning and snow removal.

    10. Works collaboratively with the Facilities management team and Library staff to assure consistency of output as well as to ensure the Central Library is clean, safe, well- kept.

    11. Works with Facilities staff to communicate in an effective and timely manner with all Library staff regarding work of the Department.

    12. Participates in interviews, and recommends for hire, evaluates custodial staff and takes corrective action as warranted.

    13. Serves as primary point of contact for facilities items at the Central Library as well as in the branches during nights and weekends.

    14. Assists with the development and use of FM technology including but not limited to building management systems, lighting controls, ticking software and inventory management.

    15. Performs related work as required.

    Minimum Entrance Qualifications:

    1. Experience

    At least five years of full-time, or equivalent part-time, administrative, managerial or supervisory experience in any one or combination of the following fields: facility management, building cleaning, building maintenance, project management and/or building construction, or any equivalent combination of such experience.

     

    2. Education

    1. Graduation from the carpentry, electro-mechanical technology, electrical wiring, maintenance, masonry, painting and decorating, plumbing, power mechanics, sheet metal or steam engineering course of a recognized technical/vocational high school may be substituted for a maximum of one year of the required experience.

    2. A certificate for completion of at least a two year, or equivalent part-time, course of studies in a non-degree granting program of a recognized technical school above the high school level with a major in architectural drafting technology, civil construction technology or electronic maintenance technology may be substituted for a maximum of one year of the required experience.

    3. An associate’s degree with a major in architectural drafting technology, construction and building technology (carpentry, electrical work, plumbing, sheet metal, air conditioning, heating, etc.), plant management, civil engineering, electrical engineering technology or electrical power engineering technology, may be substituted for a maximum of one year of the required experience.

    4. A bachelor’s with a major in architectural engineering, civil engineering, electrical or mechanical engineering may be substituted for a maximum of two years of the required experience. Education toward such a degree or certificate will be prorated on the basis of the proportion of the requirements actually completed. An advanced degree in a related field may be substituted for one year experience. No substitution will be allowed for two years supervisory experience.


    3. Other Requirements
    1. Must have and maintain a current MA driver’s license.
    2. Must be able to respond to emergency calls during off-hours.
    3. Demonstrated ability to manage large number of employees.
    4. Ability to develop and conduct training programs, including instruction
    in the use of various pieces of equipment.
    5. Working knowledge of the methods, materials, tools, and equipment used in building care work.
    6. Demonstrated knowledge of email, word-processing, spreadsheet, and project management software.
    7. IFMA certification highly preferred.
    8. Ability to exercise good judgement and focus on detail as required by the job.

    4. Residency – Must be a resident of The City of Boston upon the first day of hire

    5. CORI – Must successfully clear a Criminal Offenders Record Information check with The City of Boston.
