    Brief Job Description (essential functions of the job):


    Under the general supervision of the Senior Deputy Treasurer/First Assistant Collector-Treasurer, the Facilities Officer is responsible for monitoring the maintenance and upkeep of properties and facilities owned or funded by the City Trusts. 


    • The Facilities Officer duties include, but are not limited to, scheduling inspections and inspecting sites, structures, and equipment or systems to ensure compliance with Trusts in accordance with established lease and maintenance agreements, City or industry standards, specifications, regulations, policies, or contracts.
    • Documents discrepancies or items of concern.
    • Prioritizes schedules and communicates maintenance and/or capital repair work to be completed with City staff or contractors.
    • Prepares scope of work specifications for quotes from contractors, selects or assists in the selection of contractors, oversees contractors work, and verifies that work is completed according to contract specifications and standards.
    • Reviews, approves, and submits invoices for work completed by contractors.
    • Ensures facilities and buildings meet requirements and regulations regarding health and safety, Americans with the Disabilities Act, and other requirements.
    • Responds to emergencies and urgent situations as appropriate.
    • Prepares reports, correspondence, and data to communicate and report on the status of projects and maintenance activities.
    • Performs related duties as required.

    Minimum Entrance Qualifications:

    • At least four (4) years of full-time or equivalent part-time office experience in work where the major duties included technical property management or maintenance, building trades, or similar work of which at least one (1) year must have been in a supervisory capacity.
    • Completion of an apprenticeship, formal training or education program in a related building trade. Possession of a current license in one or more related building trades is preferred.
    • Familiarity or experience with Massachusetts and municipal building codes, a variety of City of Boston, ordinances, rules, regulations, policies, and operating procedures related to building maintenance, procurement, and facilities inspections.
    • Strong ability to work independently and meet schedules and deadlines. 
    • Ability to collect, organize and interpret data. 
    • Ability to establish and maintain constructive and cooperative interpersonal relationships with staff, peers, supervisors, or managers in the work unit and other city departments, as well as with staff of outside entities and other individuals, as applicable to the essential duties and responsibilities. 
    • Strong quantitative and analytical skills. 
    • Demonstrated ability to work in diverse teams and build strong relationships across a range of functional areas and seniority levels.
    • Strong organizational and project management skills. 
    • Ability to exercise good judgment and focus on detail as required by the job.
