    Brief job description(essential functions of job):


    The Special Assistant to the Chief of Policy supports the Chief of Policy to the Mayor of Boston by managing administrative responsibilities related to the Chief of Policy and the Mayor’s Policy Office. This includes, but is not limited to, coordinating and facilitating the scheduling of all meetings, managing the overall organization of materials for the Chief of Policy, and assisting on special projects, as needed. The position frequently acts as a liaison to Administration officials, executives, the media, and the public. The position may have exceptional opportunities for growth and offers a high level of hands-on experience for the right individual.


    • Manages the Chief of Policy’s daily calendar, including the planning and coordination of all details related to meetings and events.
    • Creates and maintains systems to manage the Chief of Policy’s calendar and ensure Chief's preparedness for meetings.
    • Performs customer service functions including answering phone calls, directing calls, and answering emails and other inquiries.
    • Acts as a liaison between the Chief of Policy and other members of the Mayor’s Cabinet, senior executives, the media, and constituents.
    • Assists with creating briefing materials for meetings and events, including talking points, for the Chief of Policy.
    • Represents the Chief of Policy and the Office of the Mayor in a professional manner.
    • Responds promptly and courteously to all inquiries.
    • Supports the daily operations and activities of the Mayor’s Office.
    • Assists the Chief of Policy with special projects, including those related to the Mayor’s Office, policy issues, and communications.
    • Plans events on behalf of the Mayor’s Office, often in coordination with other departments or external organizations.
    • Performs related work as required.

    Minimum Entrance Qualifications:

    • At least three (3) years of full-time, or equivalent part-time, professional experience.
    • Strong written communication skills.
    • A bachelor's degree (or equivalent experience) is preferred and may be substituted for two (2) years of the required experience.
    • Experience with Microsoft Word, Excel, and PowerPoint, as well as the Google suite is preferred.
    • Strong interpersonal skills and a willingness to work as part of a team.
    • Must have and maintain valid driver’s license.

    • Build relationships with internal and external partners.

    • Exercise good judgment and focus on detail as required by the job.

    Boston Residency Required.
