This is a provisional appointment.

Brief Job Description (essential functions of the job):

Under direction serves as administrative aide to the Director of Human Resources & Payroll of the Parks & Recreation department, assisting in a wide variety of difficult and complex duties, requiring a high degree of mathematical calculations, pertaining to maintenance and processing of the payroll/personnel records for employees of all units of the Parks and Recreation Department. 

Responsibilities:

  • Assists in the preparation and processing of weekly payrolls for all units of the Parks and Recreation department.
  • Assists in the maintenance of personnel and payroll records of the departmental employees.
  • Reconciles weekly payrolls and distributes same to appropriate staff for budget tracking.
  • Prepares and processes sick leave reports and letters in conjunction with the City of Boston Attendance policy.
  • Collects statistics and other material for annual sick and vacation leave report.  Prepares material to rough outline for supervisor’s review.
  • Under direction, plans work methods and procedures.
  • May assign and review the work of a group of employees performing related or specialized duties.
  • May be requested to interpret union contracts and procedures, and Department regulations and policies to employees.
  • Picks up checks at Boston City Hall on an as needed basis.
  • Performs related work as required.

Minimum Entrance Qualifications:

 

  • Four (4) years of fulltime, or equivalent part-time, experience in office or business administration, in work the major duties of which included one or more of the following functions:  office management, records management, purchasing or personnel administration or any equivalent combination of the required experience and appropriate substitutions. 
  • A bachelor’s degree in a related field may be substituted for two (2) years of the required experience.  A diploma for completion of a two-year, fulltime or equivalent part-time program in secretarial or business education above the high school level may be substituted for one year of the required experience.
  • A thorough understanding of all aspects of Microsoft Office Suite applications required. PeopleSoft experience preferred. 
  • Ability to perform mathematical calculations; to understand, interpret, and apply administrative and departmental policies and procedures; to communication effectively orally and in writing.
  • Ability to plan, organize and review the work of subordinates. 
  • Strong computer skills.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Fluency in Spanish or other secondary language is preferred
