Overview:

Brief Job Description (essential functions of the job):

 

Under the direction of the Commissioner of the Environment Department and supervision of the Office Manager: position is involved in the administration of all finance and accounting within the Department, including but not limited to, grants, contracts, external and internal accounts.

Responsibilities:

  • Sets up accounts within the City of Boston for contracts under external grants.
  • Administrates all expenses related to these grants and keeps track of expenditures through spreadsheets.
  • Creates all Purchase Orders and Requisitions and pays invoices related to these.
  • Maintains contract fiscal reporting and payment process for accuracy and appropriateness.
  • Maintains accounting of all funds under the Environment Department.
  • May assist with budget preparation and maintenance of budgetary ledgers.
  • Under the request of Management, prepares Purchase Orders and requisitions for goods and services for the Environment Department, including but not limited to all external accounts.
  • Assists with walk in customers and provides back up for receptionist on as needed basis.
  • Assists with special projects and other duties as required.
  • Performs related work as required. 

Minimum Entrance Qualifications:

  • Four (4) years of full time, or equivalent part-time, administrative experience in accounting or financial reporting of which two (2) years must have been concentrated in basic accounting & record keeping, office management & practices and procedures.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Must have working knowledge of MS Word and Access with webpage, publishing and/or document management software experience desirable.
  • Ability to multitask and work in a fast paced environment.
  • Working ability to prepare and maintain accounting and associated records; or any equivalent combination of the required experience & substitution below:

An undergraduate degree with a major in business administration, public administration or business management may be substituted for a maximum of two years of the required experience on the basis of one year of such education for six months of the required experience.

 

Boston Residency Required.
